What growth does to a Prescott Valley business

A business that doubles in three years outgrows its accounting long before it notices. The sole proprietorship that made sense at $200,000 in revenue is expensive at $700,000. Equipment gets bought from out-of-state suppliers who charge no Arizona tax. The first two employees become nine, and payroll filings that were an afterthought become a liability. None of these are complicated problems, but they all have deadlines, and a once-a-year appointment finds them a year late.

Entity structure revisited on purpose
We model whether an S corp election, a partnership or staying a sole proprietor produces the lowest total cost once payroll tax, retirement contributions and Arizona's small business income election are all counted. The right answer changes as revenue grows.

Use tax on out-of-state equipment
Yavapai County businesses buy a lot of machinery from suppliers who do not collect Arizona tax. Use tax applies to those purchases, it belongs on the TPT return, and it is one of the first things an audit looks for.

WHO WE WORK WITH

How we start with a new Prescott Valley client

It begins with a discovery call. After that we want the last two or three returns, a recent TPT filing and your payroll summaries. In a growing business the usual findings are a stale entity structure, unreported use tax and elections nobody made. We put that in writing with a number next to each item, quote a fixed fee, and wait for your decision.

Arizona and Yavapai County rules worth knowing

In Arizona the seller owes the tax for the privilege of doing business, and the town portion is remitted to the Arizona Department of Revenue on the same return that carries the state and Yavapai County amounts. Contracting is its own classification, which matters for any trade working across Prescott Valley, Prescott and unincorporated county areas, because the municipal portion follows the job site rather than your office. Machinery, tools and inventory bought from suppliers who collected no Arizona tax generally owe use tax here. Arizona also permits small business income to be reported under a separate election, which becomes worth modelling once profit is steady.
Most tax firms see you once a year. We build long-term relationships because consistent guidance compounds over time.

FAQs

Get answers to common questions about our tax preparation, accounting, and advisory services for businesses and individuals in your area.
My business has grown. Should I still be a sole proprietor?
Possibly not, but it should be a calculation rather than a hunch. We model the total cost of each structure including payroll tax, retirement contributions and Arizona's small business income election, and there is usually a revenue point where the answer flips clearly.
We buy machinery from out of state. What do we owe Arizona?
If the seller charged no Arizona tax and the equipment is used here, use tax generally applies and it belongs on your TPT return. Auditors look for exactly this, and it is easy to fix going forward once the process is set up.
We do jobs in Prescott, Prescott Valley and out in the county. Does that change our tax?
Yes. Contracting is reported based on where the job site is, so the city or town portion follows the work rather than your office address. Trades working across Yavapai County need that mapped once so the filings stop being guesswork.
Can you run our payroll?
Yes. Payroll runs from our office with direct deposit, new hire reporting and all federal and state filings, and it scales with headcount rather than requiring a new provider every time you hire.
Is the distance a problem?
Not in practice. Prescott Valley clients send documents to a secure portal, meet us on video and hear back inside a business day or two. The Mesa office at 6861 E Main St is there when a face to face meeting earns the drive.
